Kerio Control License Renewal: How to Renew and Activate Your Subscription

What to collect before you renew

Start with the existing licence number, the organisation name registered to it and the previous invoice where available. GFI’s renewal guidance asks customers to provide those details to their reseller or, where necessary, GFI Sales. They are the fastest way to match a renewal to the existing entitlement and avoid ordering an incompatible user band, appliance family or service term.

Also record the Kerio Control deployment type: hardware appliance, software appliance or virtual appliance; the model if hardware; current user count; expiry date; whether antivirus and Web Filter are included; and whether high availability is in use. The purchase decision should reflect the deployed product, not only the firewall’s hostname or a remembered product family.

The current status and licence usage are visible in the Kerio Control administration interface. GFI explains that a basic server licence includes an admin account and ten user accounts, with additional users licensed in groups of five. Confirm the actual concurrent user requirement before selecting a renewal or an expansion.

Choose the correct Kerio Control subscription

Kerio Control subscriptions are not interchangeable across every deployment. Match the product to the appliance family or licence type already in use, then confirm the user band and term. A quote request should include the old SKU or licence number wherever possible; that lets the supplier identify whether the requirement is a straightforward renewal, an additional-user licence, an upgrade or a migration project.

GFI lists Kerio Antivirus and Kerio Control Web Filter as individually licensed optional components. Check what is included in the entitlement being renewed rather than assuming that a short product title includes every service. Its licensing documentation also notes that software maintenance affects access to later updates, so renewal timing should be considered alongside the organisation’s patching and support policy.

Renew through a reseller, then update the appliance

GFI directs customers to their reseller for renewal. If the original reseller cannot be contacted, GFI provides a route to find another reseller or contact Sales. An expired licence cannot simply be re-used in the activation wizard; the renewal has to be purchased before the renewed entitlement can be applied.

After a renewal is processed, the new details may not appear immediately in the Kerio Control web administration interface. GFI’s registration instructions explain how to force the update: open the administration interface, go to Dashboard, open Configuration Assistant, select Register product, then use the licence or update option as appropriate. Review the displayed licence details before finishing the wizard.

Keep a dated record of the renewed SKU, invoice, licence number and appliance serial or deployment details. That makes the next renewal, an audit or a support case much simpler and avoids confusion where multiple customer appliances are managed by one MSP.

Offline activation when the appliance cannot reach the internet

A disconnected appliance can still be renewed. GFI documents an offline method: register the purchased licence through the Kerio Product Registration page, download the resulting license.key file, then import it in the administration interface. The documented path is Dashboard, Configuration Assistant, Register product, then Register offline by license file.

Plan this before an air-gapped or restricted site reaches expiry. The administrator needs a secure workstation that can reach the registration service, a safe way to transfer the file to the appliance, and confirmation that the file belongs to the intended licence. Keep the file with the licence record under the organisation’s normal access controls.

Renewal, migration and high availability are different tasks

A renewal normally preserves the existing deployment. Moving a licence or replacing a firewall can introduce restrictions. GFI states that licences can move between two virtual appliances, two software appliances, or hardware appliances of the same type, but not freely between hardware and software/virtual appliances or different hardware types. Ask for licensing guidance before treating a hardware refresh as a routine renewal.

For high availability, GFI’s licensing documentation says the master and slave appliances need the same licence keys; different keys cause synchronisation failure. Include HA topology and both appliance models in any renewal or refresh request. For a migration, plan a tested configuration export/import and a clear cutover window rather than assuming the old and new systems can run the same licence indefinitely.
